Wiitrans Network, Inc. independently develops and operates our full product ecosystem, including:
1. Wiitrans Official Website (wiitrans.com): Translation service platform;
2. WiiMedia All-in-One Intelligent Video Translation & Dubbing Platform (wiimedia.video): supporting AI subtitle generation, video translation, voice cloning, audio-video synthesis, project collaboration and open APIs;
3. "Wiitrans" WeChat Mini Program;
4. All subsequent official websites, clients, open APIs, SaaS tools, enterprise service systems and other associated products launched by Wiitrans (collectively the "Wiitrans Full Suite of Products and Services").
This Wiitrans Unified Privacy Policy (the "Policy") serves as a unified privacy standard, superseding the separate legacy privacy policies for Wiitrans Official Website and WiiMedia etc. It uniformly governs the processing of users' personal data, creative materials, AI-generated data, copyright content and cross-border data transfers across all platforms. It complies with the Personal Information Protection Law of the People's Republic of China, Cybersecurity Law of the People's Republic of China, Interim Measures for the Administration of Generative AI Services, and the EU General Data Protection Regulation (GDPR).
We attach great importance to user privacy, creative copyright and data security, and strictly adhere to the four core principles of lawfulness, legitimacy, necessity and transparency. By accessing or using any Wiitrans Full Suite Product, you confirm that you have fully read, understood and agreed to all terms of this Policy. If you disagree with any provision herein, please cease all use of our Products and Services immediately.
1.1 Applicable Channels
This Policy applies to all functions you access, register for, log into or use via the following channels:
• Wiitrans Official Website (wiitrans.com): Written translation, interpretation, manuscript delivery, translator onboarding, order settlement, withdrawal, invoice application and corporate translation services;
• WiiMedia Platform (wiimedia.video & official APIs): Video upload, subtitle recognition, image masking, multi-lingual AI translation, AI voiceover, voice cloning (biometric voiceprint processing), audio-video synthesis, batch project collaboration, membership subscription, enterprise VIP, material storage and work export;
• "Wiitrans" WeChat Mini Program: Quick order placement, message notification, work preview and personal information management;
• Any subsequent official websites, clients, open interfaces, on-premises enterprise deployments and overseas sub-sites launched by Wiitrans.
1.2 Exclusions
1) Independent services embedded, linked or provided via SDKs of third parties through Wiitrans Products (including third-party payment, customer service, SMS and external websites). Such third parties are governed by their own privacy policies and bear sole liability for any data collection or storage activities triggered after you redirect to their platforms;
2) Minors under 18 years old and children under 14 years old: Our Full Suite Products are exclusively available for registration and use by adults with full civil capacity. Minors are prohibited from registering independent accounts. If guardians become aware of unauthorized minor use of our platforms, they may contact Us to permanently delete the relevant account and all associated data.
1.3 GDPR Compliance Notice
For users accessing our platforms from the European Union / European Economic Area (EEA) via wiitrans.com or wiimedia.video, this Policy fully complies with the GDPR and applicable laws of EU Member States, including but not limited to:
1) Full data subject rights (access, rectification, erasure, restriction of processing, data portability, objection and withdrawal of consent);
2) Legal safeguards for cross-border data transfers (EU Standard Contractual Clauses, SCCs);
3) Mandatory notification of data breaches to supervisory authorities and affected users within 72 hours;
4) Completion of Data Protection Impact Assessments (DPIA) for processing sensitive biometric data such as voiceprints for voice cloning;
5) Your right to object to processing based on automated decision-making (including AI generation) and request human intervention;
6) Your right to file a complaint with the Data Protection Authority (DPA) of your EU Member State of residence.
International users may exercise all data rights under the GDPR as set out in Clause 8 of this Policy.
We collect information only on four lawful bases: service provision, contract performance, compliance risk control and security operation maintenance. Collected data falls into five categories: core account information, transaction data, AI creative materials & biometric data, device technical information and third-party login identifiers. No non-essential data will be mandatorily collected.
2.1 Core Personal Information for Registration & Login
1) Mobile phone number and email address: For account registration, login verification, password retrieval, order/work notifications and security risk control;
2) Third-party login identifiers (WeChat OpenID): When you log in via WeChat, we only obtain your unique WeChat OpenID for password-free login; we will not actively collect additional social data beyond your nickname and avatar;
3) Custom account profile: Username, avatar and self-defined nickname, which you may modify or delete at any time.
2.2 Transaction, Payment, Withdrawal & Invoicing Information
1) Translator withdrawal on Wiitrans Official Website: Bank card number, issuing bank, cardholder name, ID number; Alipay account and real-name identity. Such information is required for commission settlement and tax compliance; withdrawal services will be unavailable if you decline to provide it.
2) WiiMedia membership & paid services: Order number, order time, payment amount and purchased package type.
3) Invoice application:
Ordinary invoice: Corporate name, taxpayer identification number and invoice receiving email address;
Special VAT invoice: Corporate name, taxpayer identification number, bank name, bank account number, registered address, corporate contact number and invoice delivery address.
Invoices cannot be issued without the above information, which shall only be retained for tax filing and will not be shared externally.
2.3 Special Collection Rules for AI Creative Materials, Audio-Video Files & Voice Cloning
1) All materials uploaded voluntarily by user: video files, audio files, subtitle texts, images, scripts and translation manuscripts. These materials are used solely to deliver AI translation, voiceover, editing and synthesis services. You bear full legal liability for the copyright, portrait rights, voice rights and intellectual property rights of all uploaded materials, and shall not upload content that infringes third-party copyrights, personality rights or trade secrets.
2) Voice cloning / voice tone replication rules
When you upload voice samples to generate exclusive AI voice tones, we will collect voice data:
Purpose of processing: Solely to generate your exclusive synthetic voice, accessible only via your own account;
Storage rules: Original voice samples are retained only until you delete the voice tone or cancel your account. Such data will never be used to train general AI foundation models, shared externally or replicated for third parties;
GDPR requirements for overseas users: Voiceprint collection requires your separate explicit opt-in consent. Uploading and choosing corresponding AI clone functions is regarded as a consent of collecting. System will notify you that certain info is collected. You may withdraw at any time by deleting all project materials and role voice samples etc. Upon withdrawal, the system shall delete all original voice samples and synthetic voice tones within 48 hours; if any issues, please contact us by the ways listed in part 10.
Prohibited conduct: You may not upload third-party voice samples for cloning, and shall bear all legal liabilities for violations.
3) Platform-generated works: AI-translated subtitles, synthetic audio, finished videos and project engineering files are permanently owned by the uploading user. We only store such works for your viewing, secondary editing and downloading, and you may delete any single or batch works at any time.
2.4 Anonymous Device & Technical Information
When you access our Full Suite Products, we automatically collect device model, operating system, browser type, IP address, access timestamps, page operation logs and crash logs. Such data is used for fault repair, security protection, anti-fraud and service performance optimization only. Device information is stored separately from account identifiers and shall not be used for user profiling or targeted advertising.
2.5 Circumstances Where We May Process Your Personal Information Without Additional Consent
Consistent with exemptions under the Personal Information Protection Law and the GDPR, We may process your personal information without your prior authorization in the following scenarios:
1) To perform statutory legal obligations and cooperate with lawful investigations conducted by public security, cyberspace administration, tax and other regulatory authorities;
2) Matters directly related to national security, public security, public health and major public interests;
3) Criminal investigation, prosecution, trial and enforcement of judgments;
4) To safeguard major legitimate rights and interests of you or third parties to life or property where consent cannot be obtained in a timely manner;
5) Information you have voluntarily disclosed to the public;
6) Processing necessary for the conclusion and performance of our service contract with you;
7) Information collected from lawfully publicly disclosed sources (e.g. legitimate news reports, government public disclosures);
8) To maintain stable operation of our Products and Services, resolve faults, and prevent account hijacking, fraud and infringing content.
3.1 Server Storage Jurisdiction
1) Personal information and creative materials generated by users based in mainland China are stored on compliant servers located within the territory of the People's Republic of China by default;
2) For overseas users (EU / global) accessing wiimedia.video: If you are located outside mainland China and provide separate explicit consent, your personal information and audio-video materials may be transferred to compliant overseas service providers for storage. We will sign EU Standard Contractual Clauses (SCCs) under the GDPR to ensure overseas data protection standards are no less stringent than those required by PRC laws. You may withdraw your cross-border storage authorization at any time, upon which We will migrate all your data back to mainland China or permanently erase it.
3.2 Minimum Data Retention Periods
1) Core account information: Retained for the duration of your account; deleted or anonymized within 15 working days after account cancellation;
2) Transaction, order, invoice and withdrawal financial records: Retained for 10 years in compliance with tax laws and regulations, and automatically purged upon expiry;
3) AI materials, audio-video works and cloned voice tones: Retained indefinitely unless you actively delete them; all such data will be fully cleared upon account cancellation;
4) Anonymous device logs: Automatically retained for 30 days and destroyed upon expiry;
5) Cookie tracking data: Retained for a maximum of 7 days; you may disable Cookie permissions via your browser settings at any time.
3.3 Data Disposal Upon Service Termination or Account Cancellation
1) If We cease to provide all or individual Products and Services, We will issue an in-platform notice 30 days in advance. All user personal information will be deleted within 15 days after termination, except financial records required to be retained by law;
2) After successful account cancellation, all mobile numbers, email addresses, voiceprint materials, audio-video works and voice tone models will be irreversibly deleted or anonymized (save for financial vouchers required by law). Backup copies will also be purged in the next backup cycle and cannot be recovered.
1. All official websites, the WiiMedia web platform and WeChat Mini Program deploy Cookies, web beacons, scripts, tags and other tracking technologies to maintain logged-in sessions, save project progress and optimize page loading performance;
2. You may reject or clear Cookies via your browser settings. Disabling Cookies may result in session logout, lost project progress and malfunction of partial AI features;
3. We will not collect sensitive personal information including ID numbers, bank card details or voiceprints via Cookies, nor use Cookies for cross-platform user profiling or targeted advertising.
5.1 Sharing of Information
We only share limited minimum necessary data in the scenarios below. All partner third parties execute data confidentiality agreements restricting data usage and prohibiting resale or unauthorized reuse of user information:
1) Where you provide separate explicit consent to share;
2) As required by legal documents issued by judicial or administrative authorities for law enforcement cooperation;
3) Where necessary to protect the security of our platforms, users and the general public;
4) Authorized third-party service providers (see Appendix Wiitrans Full Suite Information Sharing List for full details):
a. Alibaba Cloud SMS: Only mobile phone numbers are transmitted for verification codes and security notifications;
b. WeChat Pay / Alipay: Only order numbers and payment amounts are transmitted for payment settlement;
c. The WeChat Mini Program relies on Tencent WeChat SDK, which may collect device information and network status to support basic mini program operation; please refer to Tencent's privacy policy for details;
d. 53 Customer Service: Only chat records, IP addresses and browser information for user consultation and after-sales support;
e. Cloud storage & AI computing service providers: Only audio-video files and subtitles uploaded by you are transmitted for AI translation and rendering. Computing providers are prohibited from retaining materials or using them for model training.
5) For GDPR overseas users: Prior to transferring data to overseas service providers, We will complete cross-border data security assessments and sign EU SCCs to guarantee data security.
5.2 Transfer of Information
Your personal information may only be transferred as corporate assets in the event of merger, acquisition, asset transfer or bankruptcy liquidation, subject to the following terms:
1) All users will be notified via in-platform announcement 30 days prior to any transfer;
2) The transferee shall adhere to data protection standards equivalent to this Policy. If the transferee revises its privacy rules, it must obtain your new explicit consent;
3) In the event of bankruptcy without a successor entity, all user data will be fully destroyed and not transferred to any third party.
5.3 Public Disclosure of Information
We shall not actively disclose your personal information in principle. Public disclosure may only proceed if all of the following conditions are met simultaneously:
1) Completion of a Personal Information Security Impact Assessment;
2) Notification to you of the disclosure purpose, categories of information and sensitive data involved;
3) Obtainment of your separate written explicit consent;
4) Mandatory disclosure required by applicable laws and regulations (excluding judicial public announcements).
5.4 Exemptions to Prior Consent for Sharing, Transfer or Disclosure
Consistent with Clause 2.5 above, We may share, transfer or publicly disclose your information without prior consent in scenarios involving national security, criminal investigation, major public interests or information you have voluntarily disclosed to the public.
1. Copyright ownership of user materials: All videos, audio files, texts and voiceover materials uploaded to WiiMedia or Wiitrans remain the exclusive intellectual property of you or the original rights holder, including copyright, portrait rights and voice personality rights. We are granted a limited revocable license terminating upon completion of the requested service: We may only temporarily use such materials to deliver your requested AI translation, voiceover and editing services. After service completion, you retain full control of your materials, and We obtain no rights for commercial use, secondary distribution or model training.
2. Copyright of AI-generated works: All commercial and non-commercial usage rights for AI-generated subtitles, synthetic voiceovers and edited videos vest exclusively with the account holder. Wiitrans claims no copyright over such works and will not intercept or unauthorizedly reuse your finished productions.
3. Restrictions on voice cloning copyright: You may only generate voice tones using your own native voice samples. Cloning the voices of public figures or third-party artists is prohibited. If you upload infringing voice samples, We reserve the right to delete the relevant voice tone and suspend your account, and you shall bear full liability for all resulting compensation claims.
4. Commercial use reminder: If you distribute works generated via wiimedia.video on overseas platforms such as YouTube or TikTok, you are solely responsible for ensuring compliance with local copyright, portrait and voice personality laws. Wiitrans shall not be jointly liable for overseas copyright disputes.
5. Isolation of AI model training data: Original audio-video files and voice samples uploaded by users will never be incorporated into our general AI foundation model training datasets. Model training exclusively uses anonymized, publicly licensed materials, with strict separation between private user materials and training corpora.
1. Encrypted transmission: Full-site HTTPS and SSL encryption for all data transmission; sensitive data including payment information, ID numbers and bank card details are stored with AES256 encryption;
2. Access control: Internal hierarchical permission mechanisms limiting personal data access to dedicated compliance and operation staff only, with full audit trails for all data operations. We maintain an independent dedicated personal information protection team;
3. Compliance standards: We fully comply with the Cybersecurity Law, Personal Information Protection Law, GB/T 35273-2020 Information Security Technology – Personal Information Security Specification, the Interim Measures for the Administration of Generative AI Services, and full EU GDPR security requirements;
4. Data breach emergency response: In the event of personal information leakage or loss, We will implement containment and remediation measures within 72 hours, notify affected users via email, in-platform messages or SMS, and report incidents to regulatory authorities as required.
5. Employee governance: All staff receive regular privacy compliance training and execute data confidentiality agreements. Employees who disclose data in violation of rules will be held legally accountable.
You may exercise the following rights via any product channel, support email or 400 hotline. We will respond within 15 working days for mainland users and one calendar month for GDPR overseas users after identity verification, free of charge. We may charge a reasonable technical cost fee for repetitive or excessive unfounded requests.
8.1 Right to Access Personal Information
1) Wiitrans Official Website: Navigate to Settings > Personal Information to view avatar, email, mobile number, invoicing data, payment details and translator qualifications;
2) WiiMedia Platform (wiimedia.video): Access core account and purchase information via Personal Center; view all audio-video works and AI voice tones via Workbench; access project information via Enterprise VIP;
3) WeChat Mini Program: View avatar, nickname and message list via the "Me" page;
4) For data inaccessible via online channels, submit requests via email: Wiitrans general support service@wiitrans.com; WiiMedia dedicated support wiimedia@wiitrans.com.
8.2 Right to Rectify Personal Information
1) Core profile data (avatar, mobile number, password, WeChat binding status) may be modified online by yourself across all platforms;
2) For invoicing, bank card and enterprise qualification information requiring adjustment, contact customer service at 400 060 8287 or submit an email rectification request.
8.3 Right to Erase Information, AI Voice Tones & Audio-Video Works
1) WiiMedia supports single or batch deletion of videos, audio files, AI cloned voice tones and project tasks;
2) You may contact customer service to request full erasure of all real-name personal information and payment data;
3) Account cancellation will trigger full clearance of all materials and personal data.
8.4 Right to Withdraw Consent & Restrict Data Processing (Core GDPR Right)
1) You may withdraw separate consent for non-essential functions at any time (including voice cloning, cross-border storage and marketing notifications). The relevant function will cease operation immediately upon withdrawal;
2) Withdrawal of consent shall not invalidate lawful data processing activities conducted prior to withdrawal;
3) You may request We restrict our storage, sharing and cross-border transfer of your information.
8.5 Right to Obtain Copies & Export Personal Data
1) Wiitrans Official Website: Download personal data copies via Settings > Export Personal Information Copy;
2) WiiMedia: Export personal data copies via Personal Center > Export Personal Information Copy;
3) WeChat Mini Program: Export data via "Me" > Export Personal Information Copy, with files sent to your bound email address;
4) GDPR overseas users may request data in a machine-readable portable format for migration to alternative service providers.
8.6 Right to Cancel Your Account
1) Wiitrans Official Website: Submit cancellation request via Settings > Cancel Account;
2) WiiMedia Platform: Submit cancellation application via Personal Center, with a 15-day cooling-off period. The request will be automatically revoked if you log in during the cooling period; all account data will be cleared automatically if no login occurs within 15 days;
3) You may also submit manual account cancellation requests via the 400 customer service hotline across all platforms;
4) Canceled accounts, materials and order records cannot be recovered (except financial vouchers required by law).
8.7 Statutory Grounds for Refusal of Your Requests
We reserve the right to decline your requests in the following circumstances as permitted by applicable laws:
1) Requests conflicting with statutory obligations to cooperate with regulatory authorities, judicial bodies or national security functions;
2) Matters related to public security and major public interests;
3) Evidence indicating you abuse your rights via repetitive, groundless requests;
4) Requests that would cause severe harm to legitimate rights and interests of third parties or Wiitrans;
5) Requests involving trade secrets or pending judicial proceedings.
1. We may revise this Policy from time to time to comply with updated laws, product iterations and GDPR compliance requirements. We will not materially reduce your statutory privacy rights without your explicit consent;
2. All Policy updates will be notified via pop-up notifications on Wiitrans Official Website and WiiMedia, official WeChat account messages and your registered email address;
3. Your continued use of our Full Suite Products after an updated version takes effect constitutes acceptance of the revised Policy. If you disagree with the updated terms, you may cancel your account and discontinue all use of our Services.
